Marketing
You Don't Need Eleven Subscriptions. You Need Four Tools That Talk to Each Other.
The best tech stack is the smallest one that gets a stranger to a deposit.

Right now there is a tab open on your laptop for a tool you signed up for in March. Free trial. You never went back. Meanwhile your card keeps getting hit for a scheduler, a landing page builder, an email platform, a survey app, a link-in-bio thing, and something with "AI" in the name that you cannot remember buying.
Nineteen dollars here. Forty there. The retreat is still not full.
You did not fail at marketing. You bought a toolbox and skipped the part where you decide what you are building.
Shiny Is Not the Same as Needed
Every tool has a good demo. That is the whole trick. The demo shows a clean dashboard, a happy founder, and a pipeline that fills itself. It never shows you at 11 p.m. trying to figure out why the form does not talk to the list.
Software companies are very good at selling you the version of your business that has already worked. You are not there yet. You need the version that gets your first fifty people on a list and your first ten into the retreat.
Four Jobs. That's the Whole Stack.
Strip it down and a retreat business needs a tool for four jobs. Capture, meaning a page and a form where a stranger gives you an email address. Send, meaning an email platform that delivers what you write. Remember, meaning one place that holds who people are and what they did. Get paid, meaning a way to take a deposit without a spreadsheet and a prayer.
That is it. Four jobs. One tool each, and sometimes one tool covers two.
Plenty of email platforms now include landing pages. Plenty of booking tools include payments. If a single product does two of your jobs well enough, you just saved money and a headache.
The Only Test Worth Running
Before you buy anything, ask one question. Does this move a person from stranger to deposit, or does it make me feel organized?
Feeling organized is a nice side effect. It is a terrible reason to pay monthly. If you cannot point at the exact step in your path that this tool handles, close the tab.
The tools that pass the test are boring. A form that works. An email that sends on time. A list you can search. A payment link that does not break.
What to Ignore Until You Have Traffic
Funnel builders with forty templates. Course platforms when you have no course. A separate community app when your email list is still two hundred people. Automation software when you have nothing to automate yet.
All of those can matter later. Later is when something is working and you need it to work at larger scale. Buying them early is like hiring a night shift for a restaurant with no customers.
Same goes for the stack of AI subscriptions. One is plenty. Learn it before you collect the rest.
Do the Money Math Out Loud
Add up everything you pay for software every month. Say the number out loud. Most new retreat leaders land somewhere between one hundred fifty and four hundred dollars, and a lot of it is stuff they do not use.
A lean stack for the first year can run under one hundred a month. Some of it can be free. If your number is triple that, you do not have a revenue problem yet. You have a subscription problem, and that one is fixable by Friday.
Your Move This Week
Open your bank and credit card statements for the last three months. Highlight every software charge. Next to each one, write a single word: Capture, Send, Remember, or Get Paid.
Anything you cannot label gets cancelled or paused today. Anything that shares a label with something else, pick the one you like better and cancel the other. Then write down the four tools left standing. That list is your stack.
